1. Scope

This Privacy Policy explains how Parlors Point of Sale (“Parlors POS,” “we,” “us,” or “our”) handles personal information when artists, clients, visitors, and other users access parlorspos.com and our related services. An independent artist may also have their own privacy responsibilities and policies for information they receive through bookings.

2. Information we collect

Artist account and profile information

Name, email address, password hash, studio name, phone number, biography, location, timezone, social or website links, services, pricing, availability, portfolio images, merchant activation status, and account settings.

Client and booking information

Name, email address, phone number, date of birth, pronouns, emergency contact, requested service and time, tattoo placement, size, style, budget, description, consent records, reference images, appointment status, and communications or notes submitted through the Service.

Transaction information

Transaction amount, tip, fees, payment status, processor transaction identifiers, appointment association, and timestamps. North or another disclosed payment provider collects payment card credentials and bank payout details directly. Parlors POS does not collect or store full card numbers, security codes, or bank routing and account numbers.

Technical and usage information

Internet Protocol address or a one-way hash of it, browser and device information, session cookies, requested pages, timestamps, error logs, and security events. We collect only what is reasonably needed to operate and protect the Service.

3. Where information comes from

We receive information directly from you; from artists or clients participating in a booking; automatically from your browser or device; and from service providers such as North when they return payment or merchant-account status. Please do not provide information about another person unless you are authorized to do so.

4. How we use information

We do not use personal information for targeted advertising or sell it for monetary or other valuable consideration.

We do not sell or rent personal information. We do not disclose it to data brokers or advertisers. We may disclose only what is reasonably necessary in these circumstances:

Parlors POS uses essential session and security cookies to keep users signed in, remember authorized devices, and protect forms and accounts. We do not use third-party advertising cookies. Browser settings may block cookies, but essential features may then stop working.

7. Data retention

We keep information only as long as reasonably necessary for the purposes described above, including providing accounts and transaction records, resolving disputes, preventing fraud, meeting tax, accounting, payment, and legal obligations, and maintaining backups. Retention periods vary by the type of information and the reason it is held. When information is no longer needed, we take reasonable steps to delete or deidentify it.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including hashed passwords, access controls, secure sessions, restricted configuration files, upload controls, and encrypted network connections where supported. No system can guarantee absolute security. If you believe your account or information may be at risk, contact us promptly.

9. Your privacy choices and rights

Depending on where you live and subject to legal exceptions, you may have rights to access, confirm processing of, correct, delete, or obtain a copy of personal information; obtain information about third parties that received it; withdraw consent; and opt out of sale, targeted advertising, or certain profiling. Parlors POS does not sell personal information or use it for targeted advertising.

Submit a request to myposguy@parlorspos.com. Describe the request and the account or email involved. We may need to verify your identity and authority before acting. If we deny a request, you may appeal by replying to our decision with “Privacy Appeal” in the subject line. We will not discriminate against you for exercising a privacy right.

10. Children

The Service is not directed to children under 18, and artist accounts and appointment requests require users to be at least 18. We do not knowingly collect personal information from children. If you believe a child submitted information, contact us so we can investigate and take appropriate action.

11. Third-party services

The Service may link to North, artist websites, Instagram, and other third-party services. Their privacy practices are governed by their own policies, not this Privacy Policy. Review those policies before providing information.

12. Changes to this Policy

We may update this Privacy Policy when the Service, our practices, or law changes. The effective date above shows when this version took effect. We will provide additional notice of material changes when required.
